Job Description:

The Senior Associate, Immigration, reporting directly to the Associate Director, People Services  will be responsible for executing & communicating the administrative aspects of the immigration services for the People Team.  You will be the primary business facing contact on immigration matters. HelloFresh US is a division of a global company headquartered in Berlin, Germany  with a healthy globally mobile workforce. In this role, you will be the central point of communication and information among the various stakeholders of our active and potential immigration cases including: new hires, current employees, hiring managers, current managers, recruiters, HRBPs, and our designated immigration attorneys. The purpose of this position is to provide excellent customer service to new hires and current employees actively pursuing work sponsorship to create a smooth transition process as well as to navigate the immigration space in order to help HelloFresh achieve its business goals.

You will …

Manage New Hire Immigration Cases:

  • Serve as the point of contact for recruiters as they explore the viability of employment sponsorship for potential candidates
  • Explore options for employment sponsorship and communicate process timelines to Recruiting team
  • Regularly and proactively communicate status to stakeholders
  • Escalate immigration issues and provide suggestions when the process takes an unexpected turn
  • Own internal processes for application preparation and filing.

Maintain Current Employee Immigration Cases (New Visas, Extensions and Permanent Residency)

  • Track and manage timelines and internal application processes for new and extension cases globally
  • Own internal processes for permanent residency requirements including recruiting management, applicant communications, and application preparation with outside counsel
  • Proactively work with employees and their managers to communicate status and timeline
  • Guide employees through all processes

Vendor Management

  • Communicate expectations to vendors effectively, escalate issues as appropriate
  • Work fluidly with US and Berlin based HR and vendor partners to support US employee experience

Program Development/ Management

  • Proactively communicate visa status and updates to all stakeholders, including candidates, employees, HRBP’s, and business leaders
  • Provide input on effective practices and continuous process improvement; and facilitate new program or practice development and implementation.
  • Work with the Recruiting team to ensure training of current immigration processes and restrictions
  • Working with HR Business Partners to ensure they understand the impacts of job changes on visa holders
  • Provide manager training to understand the basics of immigration and their areas of responsibility
  • Provide visitor invitation letters as needed for visitor visa applications and short term travel as well as employment verification prior to travel abroad
  • Ensure all documentation is accurately maintained and up to date
  • Track visas and permanent residency application statuses and update reports accordingly.
  • Track critical dates associated with filing deadlines and status/employment authorization expiration dates.
  • Ensure immigration data is accurately maintained and that the organization's immigration compliance records have an appropriate level of data security

At a minimum, you have…

  • Bachelor’s degree in Business Administration, Finance, Human Resource Administration or other related field
  • 3 years of Human Resources experience with a minimum of 1 year of related experience in the immigration field in-house or at a law firm; paralegal experience a plus
  • Collaborative professional with great relationship and communication skills
  • Ability to multitask using analytical and problem-solving skills within a fast-paced environment with competing demands
  • Ability to work well with a diverse group of people, including Human Resources, Legal, Recruiting, Hiring Managers, and candidates.
  • Strong attention to detail and good editing skills
  • Excellent organizational, planning, and follow up skills
  • Ability to work within tight deadlines and handle confidential employee information with discretion
  • Experience with Google Suite, a plus
